Mission

The EPFL AI center focuses on developing research, education and innovation in AI at EPFL and beyond. It is the core of a vibrant EPFL community and dynamic ecosystem with different partners and stakeholders of the AI universe.

To complete its team, the EPFL AI Center seeks for a dynamic administrative assistant. In this role, you will be in charge of the administrative support for center activities and operations.

Main duties and responsibilities

Assistant to the Direction of the Center, agenda organization and general correspondence
Supervision and management of external solicitations and requests through the center inbox
Administrative management of staff members, support to hiring process, accreditation, absences, agendas, onboarding, employees' lifecycle
Finance and funds management, support in accounting
Liaising with EPFL central services and academic services
Travel organization for the center members and visitors
Support in managing the acquisition and implementation of new grants and funding
Support in administration related to research projects according to the type of grant (academic, industrial, Swiss, European, non-European)
Support of event organization for scientific conferences and meetings
Support for external procurement

Profile

Previous experience as an administrative assistant in large organisations such as EPFL is highly preferred
Full proficiency in both French and English is mandatory (both written and spoken)
Computer proficiency with a very good command of modern office tools and communication channels
Ability to interact with all levels of faculty, staff and students in multicultural environment
Proven ability to interact in a fast-moving environment with an ever-changing agenda
Self-driven, high sense of prioritisation and initiative, flexible, reliable and organised
